1. Information We Collect
We collect information you provide during registration, including your name, email address, branch or department, and location. We also collect verification documents (military email, DD-214, department credentials) that you submit for identity verification. Usage data such as event participation and interaction patterns are collected to improve the Service.
2. How We Use Your Information
Your information is used to provide and improve the Service, verify your military or first responder affiliation, match you with relevant events near you, send notifications about events and community activity, and ensure the safety and integrity of the platform.
3. Information Sharing
We do not sell your personal information. Your profile information is visible to other verified users as configured in your privacy settings. Verification documents are securely stored and only accessible to authorized moderation staff. We may share information with law enforcement when required by law.
3a. Third-Party Service Providers
We use the following processors to operate the Service. Each is bound by their own security and privacy commitments and only receives the data necessary to perform their function:
- Supabase — database, authentication, file storage, push notifications
- Vercel — application hosting and CDN
- Anthropic (Claude) — AI pre-screening of DD-214 documents to extract identification fields. Anthropic does not train models on customer data per their commercial terms. We instruct Claude not to extract or return Social Security Numbers.
- Stripe — payment processing for boosts, sponsorships, and venue/host subscriptions. We never see your full card details.
- Resend — transactional email delivery (verification, welcome, notifications)
- Vercel — analytics and runtime logs (aggregate, no PII)
3b. Verification Documents
When you upload a DD-214 or department credential, the file is stored privately and the AI pre-screen runs immediately. The extracted fields (name, branch, discharge date, character of service) are stored alongside your verification request so an admin can review them quickly. You are responsible for redacting or covering your Social Security Number before uploading; we do not extract, store, or process SSNs. Verification documents are deleted shortly after a final decision is made on your request, typically within 7 days of approval or rejection.
4. Location Data
We collect general location data (city, state) to show you relevant local events. Precise event locations may be shared with event attendees based on the host's visibility settings. You can control location sharing through your profile settings.
5. Data Security
We implement industry-standard security measures to protect your data, including encryption in transit and at rest. Verification documents are stored in secure, access-controlled storage. However, no method of transmission over the Internet is 100% secure.
6. Your Rights
You have the right to access, correct, or delete your personal data. You can update your profile at any time and delete your account through the Settings page. Upon account deletion, your personal data is removed within 7 days. Posted content (events you hosted, comments, listings) may be retained in a de-identified form to preserve community history. You can request a copy of your data by contacting privacy@offdutynation.com.
7. Cookies & Tracking
We use essential cookies for authentication and session management. We may use analytics tools to understand how users interact with the Service. You can control cookie preferences through your browser settings.
8. Children's Privacy
The Service is not intended for individuals under 18. We do not knowingly collect personal information from children.
9. Changes to This Policy
We may update this Privacy Policy from time to time. We will notify users of material changes through the platform or via email.
